The following definitions of services are based on those outlined by the Editors’ Association of Canada. In all cases, edits will be made using Microsoft Word’s “track changes” feature (unless a hard copy or alternative file type is requested), and queries to the author will be made in the margins using the “comment” feature. Authors will then be required to re-read their documents, and accept or reject the changes, as well as address the queries left by the editor.

A rush fee of 1¢ per word will apply to jobs requiring a turnaround time of less than 10 days, excluding full doctoral theses, which will be negotiated on a case-by-case basis.

Proofreading

Proofreading is the most basic level of editing, and focuses on spelling, punctuation, and individual word choice. It requires the editor to strictly follow rules outlined in an appropriate style guide (such as the Chicago Manual of Style or a house guide). Proofreading may involve:

  • reading proofs of a manuscript that has already been edited for content and flow, in order to check for errors in spelling, punctuation, tense, and noun/verb agreement;
  • incorporating and/or exercising discretion on author’s alterations;
  • flagging locations of art, equations, figures, tables, and page references;
  • checking adherence to mock-up;
  • checking page breaks and location of equations, figures, tables, and art; and/or
  • updating an automatic table of contents, if one has been set up and an update is necessary.
Copyediting

Copyediting is one level up from proofreading, and focuses on sentences and the way that individual words fit together to convey meaning. It may involve:

  • editing for grammar, spelling, punctuation, and other mechanics of style;
  • checking for consistency of mechanics and internal consistency of facts;
  • marking heading levels and approximate placement of art;
  • Canadianizing phrases and spelling;
  • providing or changing the system of citations;
  • writing or editing captions and/or credit lines; and/or
  • writing and formatting running heads.
Substantive Editing

In contrast to proofreading (which focuses on words and punctuation) and copyediting (which focuses on the sentence level), substantive editing focuses on paragraphs and the way that information flows from each section to the next. Substantive editing, also known as structural editing, may involve:

  • clarifying and/or reorganizing a manuscript for content and structure; and/or
  • generating new text to help connect sections and paragraphs.

Please note that this level of editing requires a high degree of creativity in order to develop text and structure that supports a logical flow of information. Our rates reflect the additional time and technical skill required for this task.

Stylistic Editing

Like substantive editing, stylistic editing focuses on the paragraph level. However, while the former focuses on the flow of information, the latter focuses on the clarity of information for the intended audience. Stylistic editing may involve:

  • clarifying meaning;
  • eliminating jargon;
  • smoothing language;
  • checking or correcting the reading level; and/or
  • creating or recasting tables and/or figures.

Please note that this level of editing requires a high degree of creativity in order to develop text and structure that supports a logical flow of information. Our rates reflect the additional time and technical skill required for this task.

Formatting

While our other editing services include basic formatting, such as updating tables of contents and page numbers that have already been inserted by the author, our formatting services are specifically geared toward clients who have more complex formatting needs. This service may include:

  • setting up headers, footers, and page numbers;
  • inserting cross-references;
  • formatting headings and other paragraph styles to create a dynamic table of contents;
  • creating fillable forms; and/or
  • addressing other formatting concerns.
